Terms and Conditions
In these Terms and Conditions, ‘you’ and ‘your’ refers to the entrant / participant / runner and ‘we’, ‘us’ and ‘our’ refers to Long Player Running / Long Player Running Ltd.
By entering and / or participating in an event you agree to abide by our Terms and Conditions and our Privacy Policy.
About Us
Long Player Running Ltd is a certified and registered affiliate member of England Athletics; Registered Certificate Number: 7693940.
Simon Kavanagh and Ruth Kavanagh, Race Directors at Long Player Running Ltd, are certified and registered members of the Trail Running Association; Membership Numbers 79022735 and 79022702.
Long Player Running events are held under UKA (UK Athletics) rules with TRA (Trail Running Association) permits unless an alternative permit is stated in the event information. Each event has a separate TRA Permit Number. Race permits are available at the start /finish area of each event.
Participation
Through participation in an event you are affirming that you have read all the specific event information which will be emailed out prior to the event. Information will also be available at Race HQ on event day.
You are fully aware of the potential and actual risks associated with participation in these events and through participation on event day you declare that you are medically fit to take part. You participate entirely at your own risk and agree not to take part if you are unwell or injured. If you retire during the event, you MUST ring the race day mobile number (given in race instructions) and inform an event official / marshal of your withdrawal.
We do not take any responsibility for personal items left at our events. Insurance for personal items and your personal safety are your sole responsibility.
You will agree to and follow any instructions given by event officials / marshals.
You will not drop litter. No litter on the course is acceptable; it must be put in the bins provided or available on the route.
You will give way to members of the public, including cyclists, always.
You will keep to the route so that there is no impact on the environment.
The wearing of music devices or devices requiring headphones is permitted (unless stated otherwise) at your own risk.
You must finish the event within the required time limit. Event officials / marshals reserve the right to not allow you to start another lap if you will not be able to finish it within the time limit. The time limit to complete the course is specified in the event information.
You must register at Race HQ on the day of the event and we reserve the right to ask for a form of ID. If you run under another name/race number you will be disqualified. You will be both banned from all Long Player Running events and you will be reported to England Athletics if you are an affiliated club member.
You must be 18 years of age or over on the event date to take part in the event; see age group rules for more information.
You give permission for photographs or films to be taken during events and Long Player Running Ltd reserves the right to use such photographs for publicity or to promote future events.
We reserve the right to remove any participant or prevent participation in an event or future event if you affect the safety or enjoyment of any other participant, or for any other reasonable consideration decided by Long Player Running Ltd. Negligent or malicious behaviour or an act of misconduct resulting in disqualification or removal from an event will result in no refund or transfer to a future event being offered.
Long Player Running Ltd reserves the right to alter or amend race information or rules before the event and publish any changes.
Failure on any of the above rules could result in disqualification. The Race Directors decision is final.
Bookings, Payments, Deferrals, Transfers and Refunds
Entry to our events is via online entry only with full payment at time of entry.
The entry fee is non-refundable.
You can transfer your entry to another runner up to 1 week (7 days) prior to the event date. Transfers can be completed through the online entry platform. Any payment transfer between runners is up to you to organise.
You can defer any race entry to a future event up to 1 week (7 days) prior to the original event date (subject to availability of the future event). A deferral is valid for 1 year from the date of the original event entered. You can defer once; we do not accept multiple deferrals. Deferrals can be completed through the online entry platform. Deferrals will incur a nominal admin fee.
We allow pregnant and postpartum mums to defer their event for up to three years. This also applies to adopting parents.
No deferrals or transfers are accepted with less than 7 days’ notice prior to an event.
Cancellations
If events beyond our control make the course unsafe, we reserve the right to delay, relocate, postpone, or cancel the event or alter the course. We will endeavour to give as much notice as possible to all entrants.
No refunds will be offered.
In the event of postponement of an event, and you are unable to make the new date, you will be able to defer to a later event within 12 months of the postponed event, but no refund will be offered.
Age Group Rules
Long Player Running Ltd operate under UKA rules and translate these into our lapped event distances as follows. (Rule 141 S 5 UKA Trail Running).
Over 12 years - under 14 years - 5,000 metres
Over 14 years - under 16 years - 6,000 metres
Over 16 years - under 17 years - 10,000 metres
Over 17 years - under 18 years - 25,000 metres
Over 18 years - under 20 years - 45,000 metres
Our online entry system is set not to accept entries for any runners under 18 years at our events. For any runners under 18, the parent or guardian should contact us and we will advise on how to enter.
Please note the under 20’s restriction on Ultra events.
Failure on any of the above rules could result in disqualification. The Race Directors decision is final.
Feedback & Complaints Process
We hope that you always have a positive experience with lots of fun at all our events and we are happy to receive positive feedback about the things you like and things you would like to see more of.
We realise that there may be improvements we can make or perhaps there is something that has happened that you want to tell us about. If you wish to make a complaint about any element of any of our events, we ask that you do this in writing, via email to info@longplayerrunning.co.uk. We also ask that you make any complaint within 1 week of the issue you experienced to allow us to thoroughly investigate.
Intellectual Property
All contents, logo and other visual media on the Long Player Running website is property of Long Player Running Ltd and is protected by copyright laws.
Long Player Running Ltd. is not responsible for any third-party websites which you are directed to via our website. You are responsible for reading and agreeing (or disagreeing) with the Terms and Conditions or Privacy Policies of these third parties.
